Rental Policy

RENTAL POLICIES
All equipment is offered on a Daily, Weekly or Monthly Basis. Some items are offered on a half day basis. All rental rates are subject to applicable sales and rental taxes as well as 12% damage waiver fee (see information below). Fuel and overage hours are also charged for at the time of return. To avoid additional fuel charges, please fill unit with appropriate fuel before returning to our stores.

RENTAL PERIOD
We charge from the time the rented items leave our store until the time they are returned. We realize that the items may not be being used this entire time, but we must charge on the basis of time out, not time used since we cannot rent the items to someone else while they are in your possession.

The minimum rental period for most items is a 24 hour day. Some items, such as lawn care equipment are also available in 3 & 4 hour increments.

  • Day Rate - 24 hours

  • Week Rate - 7 consecutive days to the same time.
  • 4 Week Rate - 4 consecutive weeks to the same time.
  • Sunday Rentals are available by picking up the item Saturday. Items rented for Sunday are due back Monday by 9:00 AM for the 'one day' rental rate.
  • Metered Items: Rates for rental items equipped with hour meters are based on 8 hours per day, 40 hours per week, and 160 hours per month. Additional usage will be charged accordingly.

NOTE: RENT CHARGED FOR ALL TIME OUT.

PAYMENTS
Payment for all rentals are due at the beginning of the rental in the form of cash, check or credit card. Visa, Master Card, Discover, American Express, cash, money orders and checks are accepted. If you have an approved NET30 Account with us you may place the rental on your account as long as the account is in good standing at the time of rental.

IDENTIFICATION
A valid driver's license or other official picture ID (such as a Military ID card) along with positive proof of address and phone number are required for ALL rentals. A major credit card may be required as a second form of identification. Customers who do not live in our general rental area will be asked to leave a security deposit. This deposit amount will vary depending on the item being rented. Local job sites address and phone number will also be required in some cases. Proof of insurance is required for vehicles towing trailers.

DELIVERY AND PICKUP
Delivery and pick up are available at reasonable rates. Please call for the charge to your specific location. Deliveries and pick-ups must be scheduled in advance, but we will make every effort to accommodate deliveries in emergency situations. All rental items should be gathered in a single location convenient for pick up. If you prefer, you may pick up and return your rental items to our locations.

DAMAGE WAIVER
The 'Damage Waiver' is required on all rental equipment. If lessee accepts damage waiver, then he shall have no responsibility for physical damage to the equipment EXCEPT as follows:

  • A. Damage or loss resulting from:
    • 1. Theft
    • 2. Overloading or exceeding the rated capacity of equipment
    • 3. Use of electric current provided by other than an electric utility
    • 4. Lack of lubrication or other normal service of the equipment
    • 5. Mysterious disappearances
    • 6. Use of the equipment in violation of any of the terms of this agreement
  • B. Damage to tires or inner tubes.

This damage waiver fee can be waived if the customer provides to Capital Rentals a Certificate of Insurance from their insurer that shows Capital Rentals named as an additional insured. Lessee further agrees that Capital Rentals shall be subrogated for any recovery right that Lessee may have for damage to the Equipment from any insurance policy of Lessee and agrees to exercise all rights available to him under said insurance policy and to assign any claims and pay any and all proceeds there from to Capital Rentals.

EXTENDING THE LENGTH OF YOUR RENTAL
If you rent an item and are unable to return it at your scheduled time, please call us as soon as you realize you will need it longer. Since we accept reservations, some items may already be booked for someone else. Either way, we would like to keep our rental records current and prevent overbooking and thus unhappy clients.

EQUIPMENT BREAKDOWNS
We strive to keep our equipment in top working order at all times. 'Murphy's Law' however says that problems sometimes can and will occur. If you ever have any problems or questions about the items that you rent, please call us right away. Many problems can be solved over the phone. In some cases we may need to provide a replacement or substitute item. We will do everything possible to help you finish your job in a timely and efficient manner.

RESPONSIBILITY
Responsibility for rental items remains with the customer from delivery to return. All items should be secured and protected from the weather. Additional charges for replacements are made for missing or damaged items.
